Does billing software work without the internet?
The answer
It depends on where the software runs. Billing software installed on a computer in your shop usually keeps billing with no internet at all, because its records are on that computer. Browser-based (cloud) software usually needs a connection, unless it has an offline mode that stores bills and sends them later.
Whether billing stops when the internet drops comes down to one question: where are the product list and the bills kept while you are billing? If they are on a computer in the shop, the counter does not need the internet. If they live only on a provider’s server, it does.
Three ways billing software can be built
| Type | Without internet | Typical trade-off |
|---|---|---|
| Installed on a shop computer | Keeps billing | You look after the computer and its backups |
| Cloud, browser only | Usually stops billing | Access from anywhere, but depends on the connection |
| Cloud with an offline mode | Keeps billing for a while, then syncs | Check how long it works offline and how conflicts are handled |
Our guide to offline vs cloud billing software compares these in more detail, and the glossary explains offline billing.
What still needs a connection
Even fully installed software uses the internet for some jobs. Typically these are:
- Software updates.
- Messages to customers, such as bills or reminders sent by WhatsApp or SMS.
- Backups to an online folder or another off-site copy.
- Digital payments themselves. A UPI or card payment needs the customer’s app and your bank’s systems to be online. The billing software only records how the bill was paid, so the cashier should confirm the money has arrived before completing a UPI sale.
So during an outage you can usually keep billing cash sales and recording the bills, while messages and some payments wait.
Two connections, not one
A shop with several counters or a phone used for billing often depends on its local network (the shop’s Wi-Fi or cable) as well as the internet. The internet can be down while the local network still works, and the other way round. Ask what happens to a counter that loses its link to the main computer in the middle of a sale.
For example, BILL OS runs on a Windows computer in the shop and does not need the internet for billing; WhatsApp messages and updates need a connection. A phone or tablet that loses its connection to the shop computer can keep billing and its bills sync with their real numbers when it reconnects, as described in using BILL OS on other devices.
What to ask before you buy
- Can I make, print and complete a bill with the internet unplugged? Try it in the demo.
- If bills are stored offline, how long can I keep billing, and how are bill numbers kept unique?
- What happens if the main computer fails? How are backups made and restored? See the backup checklist for shops.
The safest test is the simplest: unplug the router during a demo and make a few sales.
