Exchanges, returns and GST, handled at the counter
Exchanges happen against the original bill, the tax on returned goods is reversed with a credit note, and the GST summary is net of both.
How it works
Step by step, and why each step matters.
Each step says what the software does, then what it means for your business.
- 01
Bill with GST, or without
GST is optional per business. When it is on, bills carry GST with place of supply, including IGST for another state.
Shops that are not registered keep simple bills; registered shops get proper tax bills.
- 02
Exchange or return against the bill
Find the original bill, take the item back, and collect the difference or give it as store credit.
The customer leaves happy, and the records show exactly what came back.
- 03
Issue a credit note
On a GST bill, an exchange issues a credit note that reverses the returned goods’ tax and taxes the replacement.
Your tax figures match what actually happened at the counter.
- 04
Return to a supplier
A supplier return is a debit note with GST per item (CGST and SGST, or IGST for another state) that lowers what you owe and reduces input tax credit.
Supplier balances and input credit stay correct.

GSTR-1 export
A GSTR-1 CSV export covers B2B, B2CL, B2CS, CDNR, CDNUR and HSN, in the layout of the GST offline tool.
Cancellation with a reason
Bills are cancelled with a reason. A bill that has exchanges cannot be cancelled, so a refund never goes out twice.
Your accountant decides
Exports are conveniences. Filing stays with the business and its accountant, and BILL OS is not tax advice.
